Upload a new version of an existing policy, the old version stays accessible, the new one becomes active. Search returns the latest unless you ask for history.

Approval workflow

Approval, not folder permissions.

Documents move through a state machine. The chair, designated safeguarding lead, or finance director approves the document type they own.

  1. Upload

    Add the document. Set the scope (trust or school), title, and document date.

  2. Submit for review

    Routed to the approver for the document type. They can request changes or approve.

  3. Approved

    The document is the active version. Older versions remain accessible.

  4. Published

    Optionally publish to the public portal for parents. Unpublish at any time.
